What Is Toner?
Toner is a fine, dry powder used in laser printers and photocopiers to produce text and images on paper. Unlike liquid ink used in inkjet printers, toner is made up of tiny plastic particles (called polymer) mixed with colouring agents and other additives.
When you print, the laser printer uses a laser beam to create an electrostatic image on a drum unit. The toner powder is attracted to the charged areas of the drum, transferred onto the paper, and then permanently fused to the page by a fuser unit using heat and pressure. The result is a sharp, smudge-resistant, and fast-drying print.

How Is Toner Measured?
Toner cartridges are rated by page yield — the number of pages a cartridge can print at 5% coverage (a standard page of mostly text). A cartridge rated at 3,000 pages will print approximately 3,000 A4 pages before running out. High-yield (XL) cartridges offer more pages per cartridge, reducing your cost per page significantly.
Mono vs Colour Toner
Mono (black & white) laser printers use a single black toner cartridge. They're the most cost-effective option for offices that primarily print text documents, invoices, and reports.
Colour laser printers use four toner cartridges — Black (K), Cyan (C), Magenta (M), and Yellow (Y) — often referred to as a CMYK set. Colour toners are ideal for businesses that need to print branded documents, presentations, or marketing materials in-house.

How to Store Toner Cartridges
Toner cartridges have a long shelf life — typically 2–3 years — but only if stored correctly:
- Keep cartridges in their original sealed packaging until needed
- Store horizontally in a cool, dry place away from direct sunlight
- Avoid extreme temperatures or humidity
- Once opened and installed, toner cartridges don't "dry out" like ink — you can leave them in the printer without worry
How to Know When Your Toner Is Running Low
Most modern laser printers will display a low toner warning on the screen or via a status light. You may also notice:
- Faded or streaky prints
- Uneven coverage across the page
- A warning message on your printer's display or software
Tip: When you get a low toner warning, remove the cartridge and gently shake it from side to side. This redistributes the remaining toner and can give you a few hundred extra pages before replacement is needed.
